This Privacy Policy describes the privacy practices of Associated Electric & Gas Insurance Services Limited and its affiliates (collectively, “AEGIS” or “we” or “us” or “our”) when you access and use our website (aegislink.com), communicate with us electronically, such as via email, and when you interact with us offline, including in person, or by phone (our “Services”).

1. Our Privacy Principles

Your privacy is important to us.  We are dedicated to protecting your privacy and your Personal Information.  Please carefully review this Privacy Policy before providing your Personal Information to us. 

2. How We Collect and Use Your Personal Information

When you access or utilize our Services, we may collect Personal Information about you.  “Personal Information” is information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with you or your household.  We may collect your Personal Information directly from you and automatically through our use of cookies and other data collection technologies on our website.  We may also collect your Personal Information from third-party sources, such as your policyholder employer, or others who may submit a claim against you or on your behalf. 

The categories of Personal Information we collect from you depend on your interaction with us.  For example, we may collect:

  • Direct Identifiers and Contact Information: We may collect information such as your name, postal address, phone number, e-mail address and IP address.  We may sometimes receive individual’s Social Security Numbers, but it is our policy to redact this information.  If you are a representative or agent of the policyholder entity, then we may also collect your account username and password information if you choose to register for an account.  We collect this information directly from you, when you use our Services, and from third parties, such as the corporate policyholder.  We may use this information to manage your account and to process your insurance claims. 
  • Insurance and Claims Information: We may collect information related to your insurance or claims, such as your policy or claim numbers, and related information.  We collect this information directly from you, when you use our Services, and from third parties, such as the corporate policyholder.  We may use this information to process your insurance claims.
  • Professional and Employment-Related Information: We may collect your professional and employment-related information, such as the name of your employer and other details regarding your employment.  We collect this information from third parties, such as corporate policyholders.  We may use this information to process your insurance claims.
  • Internet Activity Information: We may collect your IP address, browser information, device information, and which pages you visit on our websites.  When you visit our website, we may automatically collect this information through “cookies.”  We may use this information in order to provide certain website functionalities to you and analyze the usage of our websites. 
  • Candidate Information: We may collect information about you as needed to consider your application for employment with AEGIS.

In addition to the descriptions above, we may also use your Personal Information for the following business purposes:

  • Maintaining your account;
  • Taking steps to improve our Services to you, including to run analytics, assess the quality of our Services, and for other related internal business purposes;
  • Administering and improving our website;
  • Communicating with you and responding to your inquiries;
  • Sending you messages to update you on corporate developments, such as new products and services;
  • Conducting online surveys to gauge our members’ opinions on specific topics or views on the website and its features and functions.  We do not share Personal Information obtained through surveys to third parties; and
  • Complying with our legal, regulatory and risk management obligations, including establishing, exercising and/or defending legal claims.

3. How We Share Your Personal Information

We may share your Personal Information in the following circumstances:

  • We may share your Personal Information with companies and individuals that we contract with in order to receive services (our “Service Providers”).  These services may include, among other things, providing services or products to you on our behalf, creating or maintaining our databases, preparing communications to you on our behalf.  Our policy is to require our Service Providers not to use or disclose your Personal Information for any purpose other than for providing services to us;
  • We will share your Personal Information with the corporate entity that has contracted with us to maintain its insurance policy in order to process any claims made against you or on your behalf;
  • We may share your Personal Information with other entities involved in the processing of your claim, such as your agents and brokers, investigators, adjusters, attorneys and others who may become involved in processing your application, servicing your policy or claims, and with persons or organizations performing insurance functions for us;
  • From time to time, we may be required to provide Personal Information to a third party in response to a court order, subpoena, government investigation, or as otherwise required by law or legal process;
  • We may share your Personal Information with Third Parties, such as law enforcement agencies or governmental authorities (i) when we, in good faith, believe you or others are acting unlawfully; (ii) when we believe it is necessary or appropriate to satisfy any law, regulation, or other governmental request; (iii) to operate our business and websites properly; (iv) to protect or defend our rights or the rights or well-being of our users, even without a subpoena, warrant or court order; or (v) we believe disclosure is necessary to protect the health and safety of our personnel, customers, clients, members, guests, or the general public.  This includes exchanging information with other companies and organizations for the purposes of fraud protection and credit risk reduction;
  • We may, as a result of a sale, merger, consolidation, change in control, transfer of assets, reorganization or liquidation of our company (a “Reorganization Event”), transfer or assign your Personal Information to parties involved in the Reorganization Event.  You acknowledge that such transfers may occur and are permitted by and subject to this Privacy Policy; and
  • We do not share your Personal Information with advertisers and we do not sell your Personal Information. 

4. Cookies

Cookies are small files a website transfers to your computer's hard drive for record-keeping purposes.  We use cookies to recognize you throughout your visit to our site and make your session more productive.  Through the use of cookies, we can keep track of where you are in a particular function, and direct you to other information you might find useful.

Our system will issue cookies when you log on to our website.  However, most web browsers can be set to inform you when a cookie is sent to you and provide you with the opportunity to refuse that cookie.  Most browsers will allow you to manage how your browser responds to cookies in the browser’s settings. 

Some web browsers incorporate a “Do Not Track” (“DNT”) or similar feature that signals to websites that a user does not want to have his or her online activity and behavior tracked.  If a website that responds to a particular DNT signal receives the DNT signal, the browser can block that website from collecting certain information about the browser’s user.  Not all browsers offer a DNT option, and DNT signals are not yet uniform.  For this reason, many digital service operations, including AEGIS, do not recognize or respond to DNT signals. 

5. Opting Out of Communications

If you would like to opt out of receiving communications from AEGISlink.com regarding updates and other promotional materials, you can choose to opt-out of such communications in your AEGISlink account settings.  You can also opt out at any time by mailing your request to:

6. Notice to California Residents

If you are a California resident, you may have certain rights under the California Consumer Privacy Act (“CCPA”) and California’s “Shine the Light” law.

Disclosures: In general, within the preceding 12 months:

  • We have collected the categories of Personal Information as described in Section 2 (How We Collect and Use Your Personal Information) above;
  • We have collected these categories of Personal Information directly from you, when you use our Services, and from third parties for the purposes described in Section 2 (How We Collect and Use Your Personal Information) above;
  • We have disclosed the categories of Personal Information described in Section 2 for the purposes and to the third parties as described in Section 3 (How We Share your Personal Information) above; and
  • We have not sold your Personal Information.

We do not share or disclose your personal information to third parties for the third parties’ own direct marketing purpose. 

Privacy Rights: Certain California residents have privacy rights under the CCPA.  Because we generally process Personal Information for our corporate Members and policyholders, we may forward your privacy request to your corporate employer in order to process the request. 

  • The right to know.  You have the right to request to know (i) the specific pieces of Personal Information we have about you; (ii) the categories of Personal Information we have collected about you in the last 12 months; (iii) the categories of sources from which that Personal Information was collected; (iv) the categories of your Personal Information that we sold or disclosed in the last 12 months; (v) the categories of third parties to whom your Personal Information was sold or disclosed in the last 12 months; and (vi) the purpose for collecting and selling your Personal Information.
  • The right to deletion.  You have the right to request that we delete the Personal Information that we have collected or maintain about you.  We may deny your request under certain circumstances, such as if we need to comply with our legal obligations or complete a transaction for which your Personal Information was collected.  If we deny your request for deletion, we will let you know the reason why.
  • The right to opt-out of sale.  You have the right to opt-out of the sale of Personal Information.  However, we do not sell your Personal Information. 
  • The right to equal service.  If you choose to exercise any of these rights, we will not discriminate against you in anyway.  If you exercise certain rights, understand that you may be unable to use or access certain features of our Services.

We will take steps to verify your identity before processing your request to know or request to delete.  We will not fulfill your request unless you have provided sufficient information for us to verify you are the individual about whom we collected Personal Information.  If you have an account with us, we may use our existing account authentication practices to verify your identity.  If you do not have an account with us, we may request additional information about you to verify your identity (such as your contact information and/or insurance information).  We will only use the Personal Information provided in the verification process to verify your identity or authority to make a request and to track and document request responses, unless you initially provided the information for another purpose.

You may use an authorized agent to submit a request to know or a request to delete.  When we verify your agent’s request, we may verify both your and your agent’s identity, and request a signed document from you that authorizes your agent to make the request on your behalf.  To protect your Personal Information, we reserve the right to deny a request from an agent that does not submit proof that they you have authorized it to act on your behalf.

7. Third Party Content and Links

We provide links to other websites that contain information that we believe you will find valuable.  However, we do not control or operate such third party websites and cannot control how these third party websites handle your Personal Information.  If you have any questions regarding the privacy policies of third party websites we link to, or questions about data collected by those websites, we suggest that you refer to the privacy notices of those third-party websites or contact the owners of the third-party websites directly.

8. Data Storage; Security; Retention

The data that we collect from you may be transferred to, stored at, or processed by our staff at any destination worldwide, including outside the European Economic Area ("EEA").  Please be aware that the data protection and consumer protection laws of the locations in which we process your Personal Information may differ from the laws in your country.  By submitting your personal data, you understand that your Personal Information will be collected from and processed in the jurisdictions in which AEGIS operates, and acknowledge that your information may be subject to access by law enforcement and other government entities, including courts and tribunals, in accordance with laws applicable to those jurisdictions.

We will take reasonable steps designed to ensure that your data is treated securely and in accordance with this privacy policy.  That said, please be aware that the transmission of information via the internet is not completely secure and we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk.

We shall retain your information for a reasonable period, including for as long as necessary to perform the Services for which your Personal Information was collected, or otherwise for as long as required by applicable law.

AEGIS reserves the right to change this privacy policy in its discretion, so please refer back to this policy from time to time.  When we post modifications to this Privacy Policy, we will revise the “Last Updated” date at the top of this webpage.  If the changes are material, we will endeavor to notify you when these changes take place.
